How to Keep Receipts for a Small Business
Small teams lose receipts in shared drawers and group chats. A shared digital habit scales better than a better cardboard box.
Define who captures and when
Receipts disappear when “someone” was supposed to file them. Decide that whoever makes the purchase scans or uploads it the same day—owner, manager, or whoever holds the card.
The standard should be boring: every business receipt enters the same library, with a category and optional tag, before the day ends.
Digitize both paper and inbox receipts
Paper still shows up at warehouses, job sites, and supply runs. Email receipts cover software and wholesale portals. ScanMyReceipt handles both: camera capture for paper, gallery upload for screenshots and saved images, with OCR for merchant, date, total, tax, payment info, and line items when present.
Preserving the original image means you are not relying on someone’s memory of a faded thermal print.
Organize for retrieval, not decoration
Categories should mirror how the business already thinks—inventory, tools, shipping, marketing, utilities, and so on. Tags can mark locations, vehicles, or campaigns.
Search across merchant, date, amount, category, tags, notes, and payment method when a vendor dispute or owner question appears. That is faster than asking the team to dig through photo albums.
- Same-day capture rule for purchases
- Shared category list everyone understands
- Notes for unusual or large purchases
- Periodic export for bookkeeping review
Hand records off without rebuilding them
When your bookkeeper asks for last quarter’s receipts, filter and export PDF, CSV, Excel, or ZIP. You are sharing organized records—not asking someone to reconstruct spending from scratch.
ScanMyReceipt is a receipt and expense recordkeeping app, not a replacement for accounting software or professional advice.
ScanMyReceipt helps you organize and manage receipt records. It does not determine whether an expense is deductible and does not provide tax, accounting, or legal advice. Consult a qualified professional for advice about your specific situation.
