How to Track Business Expenses as a Freelancer
Freelancers need expense records without adopting enterprise accounting. A receipt-first tracker keeps the admin light and the evidence solid.
Treat expenses as part of delivery, not year-end cleanup
Software subscriptions, coworking days, shipping samples, and travel for shoots all look minor until they pile up. Tracking as you go protects your margins and makes client reimbursements and tax prep less painful.
You do not need a full general ledger for that. You need reliable receipts, dates, amounts, and enough labels to reconnect each cost to a client or project when it matters.
Scan once, then tag for the way you work
Capture paper and digital receipts in ScanMyReceipt. OCR fills merchant, date, total, tax, payment info, and line items when available. Then use categories for expense type and tags for client or project names you reuse.
A short note—“props for Brand X shoot”—turns a generic store receipt into something you can defend and, when appropriate, bill back.
- Scan receipts the day of the purchase when possible
- Tag by client or project for billables and reporting
- Use search when a client asks for backup on a charge
Separate “track” from “do my books”
ScanMyReceipt is offline-first with sync and focuses on receipt and expense records—not invoicing, payroll, or full accounting. Many freelancers export CSV or Excel into whatever bookkeeping setup they already use, or hand a PDF packet to their accountant.
That split keeps the daily habit simple: capture and organize now; reconcile in accounting tools on your schedule.
Build a monthly 15-minute review
Once a month, filter the last 30 days and glance for missing receipts or miscategorized items. Export if you share numbers with a bookkeeper. Small reviews prevent the March scramble that eats billable hours.
ScanMyReceipt helps you organize and manage receipt records. It does not determine whether an expense is deductible and does not provide tax, accounting, or legal advice. Consult a qualified professional for advice about your specific situation.
